# Candidate Listing

## Overview

The candidate listing provides a centralized view of the candidates that you can access. It allows you to easily manage and track your applicants throughout the recruitment process.

## Candidates Searching

### Display

To help you customize the candidates list to your specific needs, Hireforce provides the **Display** feature to choose which columns you want to view.

On the Candidates page, **Display** **by default** that the candidate will include the following information:

* Full name&#x20;
* Email
* Phone number
* Jobs
* Stage
* Tags
* Talent pools
* Created at
* Last activity

**Note:&#x20;*****Full name, Created at,** and **Last activity** are mandatory display fields that cannot be disabled.*

You can adjust the information displayed on the Candidates page as follows:

1. Click the **Display button** at the top menu.
2. Enable the information that you want to display.
3. If you want to change the position of the information, you can **hold and drag** it to the desired position.
4. If you want to back to default, click **Reset to default**.

**Note:**

* Member of your company with roles **Admin** and **Member** can adjust the information displayed on the Candidates page.
* When you adjust the information, only you can view it. Other people will **not be affected** by your change.

### Search bar - Filter - Sort

#### Search bar

You can search the candidate on the Candidates page as follows:

1. Click **the search bar** at the top menu. You can search candidates by Candidate's name, Phone number, Email and Link.
2. You can choose and combine **the filters** that you would like use to search for candidates.

#### Advanced Filter

The **Advanced Filter** feature lets you narrow down your candidate list based on specific criteria. You can apply multiple conditions to generate a precise result set.

You can filter the candidate on the Candidates page as follows:

1. Click the **Filter** button at the top menu.
2. Choose the object, the condition and the value that you would like to filter.
3. Combine multiple filters using AND/OR logic. You can combine filters for different objects to find the most suitable results. For example, you can filter candidates by their jobs, experience, and location.

   * **AND Condition** *(default)*:

     When you apply multiple filters with the **AND** condition, the results will only show candidates who match **all** the selected criteria.

   * **OR Condition**:

     With the **OR** condition, candidates will appear if they match **any** of the selected filters, making it easier to broaden your search.

   > **Special Note on "Is not" Condition**
   >
   > When using the **"Is not"** condition:
   >
   > * The filter will **only return candidates** with values **different from** the selected value.
   > * **Empty fields** will be **excluded** from the results.
4. Click the **Apply** button to apply this filter. If you would like to save frequently used filter sets for future use, click **Save as new view.**

#### Sort candidate

Candidates will be by default sorted based on **Last activity date** (most recent first).

You can change the sorting at your discretion based on your needs.

You can choose to sort by **Creation date** (Newest first or Oldest first) or by **Last activity date** (Newest first or Oldest first) as following:

1. Click **Create at** or **Last activity**.
2. Choose Newest first or Oldest first.

## Create view

The **Create** **View** feature allows you to save customized candidate lists with specific filters and settings, making it easier to switch between different candidate views.

You can create a new view in two simple ways:

### **Option 1: Create a new view**

1. Go to the Candidate Listing.
2. Click the dropdown next to "All Candidates" → Select "**Create New View"**.
3. Enter a View Name (*Required*): Max 50 characters.
4. Select View Visibility (*Required*):
   * **Public** → View is visible to all admins and members.
   * **Private** → View is visible only to you.
5. Click "**Save**" to create your view.

#### **Customizing and Saving Filters in a View:**

* Once your view is created, the table will display without any filters by default.
* You can now customize the view with filters:

  * **Discard:** Clear all filters and keep the view without any applied filters.
  * **Apply:** Temporarily apply filters without saving them. Filters will reset upon refreshing the page.
  * **Save View:** Apply filters and save them to the view. All team members (based on their permissions) will see the same filters when accessing this view.

### **Option 2: Creating a New View from an Existing One**

You can also create a new view based on an existing **Public View**:

1. Open the public view you want to duplicate.
2. Click **"Save as New View"**.
3. Follow the same steps as in **Option 1** to name and set the visibility of your new view.

## Performing bulk actions

Simplify your workflow and save time by using bulk actions to complete repetitive tasks in just a few clicks.

### Bulk assign candidates to jobs <a href="#bulk-assign-candidates-to-jobstalent-pools" id="bulk-assign-candidates-to-jobstalent-pools"></a>

1. Select the Candidates that you want to assign to a job.
2. Click the **Assign Job** button in the Bulk Action**s** menu.
3. Find the Job where you want to assign the candidates.
4. Click the **+Assign** button to complete.

### Bulk assign candidates to talent pools <a href="#bulk-assign-candidates-to-jobstalent-pools" id="bulk-assign-candidates-to-jobstalent-pools"></a>

1. Select the Candidates that you want to assign to talent pools.
2. Click the **Add Talent Pool** button in the Bulk Actions menu.&#x20;
3. Select one or more talent pools to assign the candidates to.
4. Click the **Assign** button to complete.

### Bulk delete candidates

1. Select the Candidates that you want to delete.
2. Click the **Delete** button.
3. Confirm your action by clicking the **Delete** button.

### Bulk export

To support the users to speed up the hiring process so that they can have time to do their daily task more productively hence we added bulk export candidate profiles by CV templates or candidate listing as a csv file.

#### Export candidate listing via CSV file

The **Export CSV** feature allows you to download candidate data from your filtered and customized view into a CSV file. This is helpful for reporting, sharing with your team, or further processing in spreadsheet tools.

**Step 1: Configure Filters and Display Settings**

Before exporting, set up your candidate list to include only the data you need:

* Apply filters to narrow down the candidate pool.
* Adjust the **Display Settings** to show the desired columns in the table.

This configuration determines what data will be included in the exported file.

**Step 2: Select Candidates and Export**

To activate bulk actions, select at least one candidate from the list.\
Then click the **Export** button > **Export CSV**

**Step 3: Download the File**

The system will process the export in a few seconds. Once completed, the CSV file will be automatically downloaded to your local device.

**Exported File Details:**

* **File name format:** `viewname_DD_MM_YYYY.csv`\
  Example: `java_engineer_15_02_2025.csv`
  * `java_engineer`: name of the view
  * `15_02_2025`: export date
* **Number of candidates:** based on your current filter
* **Number of columns:** based on your display settings
* **Data:** reflects the same structure and content shown on the screen at the time of export

#### Export PDF candidate profile by profile template

This feature allows you to export candidate profiles as **PDF files** based on your profile templates. It’s especially useful for sharing standardized candidate information with hiring managers or stakeholders outside the system.

**Step 1:** Select Candidates

Manually select one or more candidates from the listing (maximum 50 candidates per 1 template at once).

#### **Step 2:** Click the **Export** Button

Choose the **Export PDF** option from the export dropdown.

#### **Step 3:** Choose a Profile Template

* If **1 candidate** is selected → The system will **generate and download a PDF** directly.
* If **multiple candidates** are selected → The system will generate a **ZIP file** that includes all selected candidate profiles in PDF format.

## Application - Job-Related Tab

The **Job-Related Tab** will appear in the Candidate Profile in addition to the Profile Tab for those who have access to the application once a candidate applied or was sourced for a position.

In addition to the similar information found in the Profile tab, the Job-Related tab will contain additional information specific to the jobs relate to the candidate. You can view the Job title beside the Job-Related tab.

### Interview Tab

The Interview Tab keeps track of all the candidate's interview history:

* If you haven't submitted feedback yet, you will see the **Submit feedback** button.
* If you have already submitted feedback, you will see a the **View feedback** button.

You can schedule interviews on the Job-Related Tab or on the Candidate Card by clicking the **Schedule** button.

### Email Tab

The Email Tab keeps track of all the email history sent by the hiring team to the candidate, allowing recruiters to easily reference previous conversations.

### Feedback Tab

The Feedback Tab keeps track of all the Interview Feedback and the Application Feedback, help you easily manage all the candidate feedbacks.

This tab included:

* Interview feedback and Applicant feedback grouped by stage:\
  \- From Hired on top to Applied at the bottom.\
  \- Feedback added order by latest to oldest.\
  \- Counting final score by type and show pending list of attendees who still not published the pending feedback yet (pending feedback and draft feedback).
* Reminder banner if you have pending Interview Feedback to submit.
* Overall score: Accumulated published score (exclude pending and draft feedback).
