Adding new candidates in Hireforce involves collecting and organizing candidate information, tracking their progress through the hiring process, and communicating with them effectively. There are 2 option to add Candidates to your candidate database on Hireforce.
Add a single candidate
Add bulks candidates
Adding a single candidate is the way that you manually create a new record for a potential employee.
There are two options to add single candidate.
Go to the Candidates page > Click the +Add Candidate button on the top right.
Fill out the information of your candidate. (*) The Full name field is compulsory
To complete, click the Add button.
Choose the job where you want to add a new candidate.
Click +New button on the top right.
Fill out all the information.
To complete, click the Add button.
To streamline the recruitment process and enhance efficiency, Hireforce has introduced the Bulk Upload feature, enabling recruiters to upload multiple resumes at the same time, minimizing the need for manual data entry.
Once uploaded by Bulk Upload, resumes are then parsed and used to create new candidates and associated with existing job (if you bulk upload in the job detail page).
Hireforce supports a maximum file size of 5MB for PDF, DOCX, and DOC files. Maximum 20 files per upload. Use CTRL or SHIFT to select multiple files.
Click the Down Arrow button in the top menu > Select Upload CVs/Resume.
Click to upload > Choose the CVs you want to upload.
All uploaded files are parsed on the left. You can click on each of them to check the parsed information. You can edit some the parsed information. The original CV is displayed on the right for easy referencing.
When you finish checking/editing, click the Add candidates button to complete.
Open the job that you would like to add candidates.
Click the Down Arrow button in the top menu > Select Upload CVs/Resume.

Each candidate in Hireforce has all their data organized in a Candidate Profile.
Clicking on the candidate name then you could view the Profile tab. Besides that, you could view the Job-Related tab if this candidate applied/sourced to your jobs.
If you are an Admin, you can be setup as templates and applied to all candidates in Hireforce.
Tags on the Candidate Profile (Candidate Tag) are applied directly to the candidate profile in the top left corner near the candidate’s name.
You can use tags to better organize your candidates and manage all the tags in the Tags Page Setting.
You can add tags in a candidate's profile as follows:
1. Go to a candidate's profile.
2. Under the Candidate name, click the + Add tag button.
3. Select the Tags you want to add or create a new tag by typing in the keyword or phrase that you want to add and hit Enter to save it. You might want to add tags based on skills, experience level, or software knowledge.
The Main Tab is updated with related candidate information:
Overview: All of the candidate's data such as contact details, profile information, summary, resume/CV.
Files: A collection of files related to the candidate, set to Public status.
Jobs: All jobs that the candidate is processing.
You may update their information by clicking on the field where you want to update. After updating a field on a candidate profile, please remember to click the Tick button to save your new information.
By default, there are 4 sections in the Overview tab can be used to collect the candidate information that you need such as:
Contact details
Profile information: This section stores information related to the candidate's career path and some information from the user interacting with the candidate.
Owner
In Hireforce, candidates are assigned an "Owner" who's responsible for managing their profile. Here's how ownership is determined:
Manually Added Candidates: When a user adds a candidate directly to the Candidate Dashboard, that user automatically becomes the owner.
Job Board/Career Page Applicants: For applicants coming through job boards or your Career Page, owner is initially unassigned. This allows you to freely assign an owner based on your team's policy
Source
Source groups similar channels where candidates enter your hiring pipeline. It helps you visualize which channels are attracting the most potential candidates. Hireforce provides 8 groups of source:
- Job board
- Career page
- Referral - Sourced
- Social
- Campaigns
- Recruitment agencies
- Events
⚠️ If a Candidate Profile recorded activity as "Refer by", the source will be updated as Referral. For this Source, you may not change it to another.
Source detail
Source Detail specifies the exact platform or channel within a source.
ℹ️ For example: There are 2 sources detail for the Referral source:
- Direct refer: The candidate is referred by users in your company account on the Referrals hub.
- Social shares: The candidate applied via the link users shared on social.
Source by
Source By identifies the team member who added the candidate.
Created date
The date that the candidate applied or was sourced on Hirefore
Summary
Resume/CV: Each candidate profile will only store one latest CV. Hireforce will support the file type with PDF, Docx, Doc up to 10MB
You can add more sections such as Work experiences, Educations, References,... if the Admin enable them in Custom Fields Setting.
The Files Tab will store the candidate's files. Depending on your permission, you can View, Download or Delete candidate files:
You can Upload file If you can access Candidate Profile.
You can View/Download/Delete your own files.
You can View/Download file with the Public status uploaded by others.
This is a premium feature. If the Preview CV button is not visible in your profile tab, please get in touch with the Support team to upgrade your plan and unlock full access.
You can preview and download the Candidate Profile as follows:
Go to the Candidate profile.
Click the Preview CV button on the top right of the Profile Tab.
If you have created the template on the Profile Template Setting, select the Template that you would like to download.
Click the Download PDF button to complete.

You can edit and download the Candidate Profile as follows:
Go to the Candidate profile.
Click the Edit CV button on the top right of the Profile Tab.
ℹ️ On the Editor: - The Completion rate indicates how fully the resume has been filled out based on the available fields in the template. You can see how many fields you need for each template. - The Editor fields help you input data which will be auto saved to the Profile. CV preview render will be shown data organized by default template (full profile). ℹ️ On the Preview CV: - Preview CV will show by default template (full profile) when clicking Edit in your Profile. - Whenever you update any information, the preview will show the content you updated in real-time and sync with your profile. - If you have created the templates on the Profile Template Setting, you can change to other templates by simply choose other templates.
Click the Download PDF button to export the Profile with the chosen templates.
Go to the Candidate profile.
Click the + Assign button on the top right of the Profile Tab.
Find the Job you want to assign the candidate to.
Click the + Assign button to complete.
Go to the Candidate profile.
Click the Delete button on the top right of the Profile Tab.
Confirm your action by clicking the Delete button.
